Project: CLAS shared services model – Business Services
Brief Description / Goal: Consolidation of Fiscal Services for CLAS – provide more effective, efficient and enhanced services to all departments in CLAS.
Pre-Implementation: Fiscal operations managed by each department.
Process: In the beginning the Business Services Model focused primarily on transactional processing for several departments with a gradual transition of the fiscal operations from the departments to the centralized model. Over time with the growth of the College, the complexity of fiscal transactions and the need for reliable fiscal information we were able to add positions to this model. Initially, a lot of our focus was on steps taken in each fiscal process and if any value was being added to the process. Through the use of flowcharts and other process improvement tools we were able to make significant improvements.
Post-Implementation: Fiscal operations managed by central office and oversight of all operations by central office.
Results: Our return on investment has paid off. We have been able to streamline all fiscal operations for the College as well as improve efficiency and effectiveness. We are able to deliver a far superior product to faculty and department heads on what resources are at their disposal, how they have been used and projections on how they will be used. This has allowed this population to further focus on their research and teaching priorities.
Resources Utilized: We have used both Human and Technical capital to enhance and move our processes forward.
Approximate Expense Reduction: $500,000
Approximate amount of time to implement: Growth of our operation has been steady over the past few years, particularly as we branch out to reporting and metric functions that allow us to use data to make more effective and efficient decisions.
